Buyers keep asking the same reasonable question: what exactly are we paying you for? The honest answer isn’t a slogan, it’s a sequence of tasks, so this page describes the work stage by stage, the way we’d explain it across our meeting table with the sample shelves behind us. Nothing here is a promise about prices or outcomes. Factories set prices, markets set outcomes. What we sell is time on the ground, a second language, and a process that’s been worn smooth since 2007.
Before anything is ordered
Most engagements start with a product idea and a rough target. The first work is unglamorous: turning that idea into a one page specification a factory can quote against, materials by grade, dimensions with tolerances, packaging, required certifications. If the spec is vague, every quote you get afterwards is fiction, so we insist on this step even when clients find it tedious.
Then the search. We shortlist factories from our own records, from trade contacts, and from physically going to look, since most of the relevant industry sits within a couple of hours of our office, Foshan for furniture and ceramics, Zhongshan for lighting, Dongguan for electronics and hardware. Each candidate gets checked before it reaches your shortlist: business licence, export history, production floor seen by one of us in person. The method is the one described in How to Verify a Guangzhou Factory in 48 Hours, applied as routine rather than exception.
What you receive at this stage
By the end of the search stage you hold a small, concrete package:
- The finished one page specification, in English and Chinese.
- A comparison of quotes against that same spec, so the price gaps mean something.
- Our visit notes on each shortlisted factory, including what we didn’t like.
- A recommendation with reasons attached.
You decide. Some clients override us. That’s fine, it’s their order.
Samples, negotiation and paper
We arrange samples, chase them when they’re slow, and check them against the spec before forwarding, so you don’t pay courier fees to receive the wrong thing twice. When a sample needs changes, we translate the feedback into terms a production manager acts on, numbered, measured, photographed.
Negotiation follows, and it covers more than price: payment structure, lead time, defect allowances, what happens if an inspection fails. We sit on your side of the table, literally when you’re here, and the result goes into a bilingual purchase contract naming the actual legal entity, checked against the licence and the bank account. Dull work. It’s also the work that decides how every later dispute goes.
While your goods are being made
After the deposit, we stay on the order. Stage updates with dated photos: materials in, production started, packing begun. If the factory goes quiet, someone from our team calls, and if calls don’t resolve it, someone drives over. Sitting in the same city as the problem is most of what China sourcing services amount to in a difficult week.
Quality control is booked as production finishes: a pre shipment inspection against your approved sample and spec, cartons pulled at random, function, finish, quantity and packaging checked, report with photos the same day. If defects exceed the agreed level, the factory reworks before the balance is paid. We’d rather delay a shipment than argue about a container that already sailed, and we say so to clients up front.
Getting it to you
For multi supplier orders we consolidate at a depot here, count and combine everything, and ship as one consignment. We book sea, air or rail through forwarders we work with weekly, prepare the document set, invoice, packing list, transport documents, certificates of origin, product certificates where required, and cross check the papers against each other before filing, because mismatched documents are the most common cause of avoidable delay we see. You receive the full file digitally, originals by courier where originals matter.
One habit worth mentioning because clients notice it: we photograph the loading itself, the open container, the count going in, the seal being fixed. Nobody looks at those pictures on the shipments that go well. On the one shipment in fifty that doesn’t, they end every argument in minutes.
After delivery, we handle claims if something arrives wrong, with the evidence trail already built, and we keep your specs, golden samples and documents for the reorder, which is usually easier and better priced than the first round.
When you come here in person
A fair share of clients fly in, and we’re built for it: airport pickup at Baiyun, hotel suggestions, an interpreter, and a schedule of factory visits worth your days, Guangzhou, Foshan, Shenzhen, Dongguan, Zhongshan as the products dictate. We’ll also walk you through the wholesale markets when browsing helps, and the list at Top 10 Popular Markets in Guangzhou for Visitors (with addresses) is the practical version of that tour. Visitors are often surprised that the showrooms are freezing in August, air conditioning fighting the subtropics, so pack a layer.
What we don’t do
Plain speaking saves everyone time. We work on wholesale and bulk orders, so we’re the wrong partner for a handful of retail pieces. We don’t set factory prices and won’t pretend to. We can’t make customs authorities faster, in any country. We won’t handle products we consider unsafe or outside the rules of your market or ours. And where a job doesn’t need us, a single trusted supplier, a simple reorder, a buyer with their own staff here, we say that too.
Alongside sourcing, the team also supports clients building their own brand, design, packaging, web store, and hosts them through every stage above. Fees depend on scope, agreed before work starts, in writing.
The questions new clients ask first
Do you take a commission from the factory as well?
No. We’re paid by the buyer and only the buyer, which is the only arrangement where our advice stays worth having. You’ll see the factory’s pricing directly in the comparison we send.
Can I use only part of the service?
Yes. Some clients want just verification and inspections, others just consolidation and freight, others the whole sequence. The stages above are modular, and the fee follows the scope.
How do we start?
Send the product idea, target quantity and destination market through the contact form or WhatsApp. We’ll reply with questions, then a scope and fee. If the project isn’t a fit for us, we’ll say so in the first exchange rather than the last.
That’s the whole service, described the way we’d describe it face to face. Our office is in Guangzhou, the kettle works, and if you’re in the city we’d genuinely rather show you the process than write about it.
