Define what an inspection must establish

“Good quality” is too vague for an inspection instruction. A useful plan identifies the product, order quantity, approved sample, specification revision, packing requirements and checks to carry out. It also explains what counts as an unacceptable difference and who decides whether an issue can be accepted.

The inspection scope depends on the product and the order. Visual appearance, dimensions, quantity, function, labels, accessories and packaging may all matter. Some performance characteristics need a laboratory or specialized equipment. We confirm what the agreed visit can check and what needs a different service.

If your buyer specifies a sampling method or acceptance quality limits, provide those requirements before scheduling. Sampling means checking selected units; it is not the same as checking every item in the order. A 100% check needs a separately defined scope and budget.

Choose the right quality checkpoints

  • Before production: review sample references, important materials and the agreed inspection criteria.
  • During production: identify recurring defects while the factory still has an opportunity to correct the process.
  • Before shipment: check the finished and packed goods against the agreed plan.
  • During loading: review carton identification, visible container condition and loading arrangements within the visit scope.

Not every project needs every checkpoint. A repeat order from a familiar supplier may need a different plan from a new custom product. The objective is to place checks where they can answer a specific decision, rather than collect photographs after the useful moment has passed.

Inspection findings you can use to make a decision

An inspection report should connect each finding to the requirement it affects. Photos need context: the item or SKU, the quantity checked, the observed difference and the location in the order. Measurements should state the reference or tolerance used. Packaging findings should explain whether the issue affects identification, protection or receiving.

Where included in the assignment, we organize the findings and bring open issues back to the supplier. The report distinguishes observed defects, unverified characteristics and details outside the inspection scope. This gives you a clearer basis for deciding whether to approve, hold or request correction.

A passed inspection describes the checks performed on the inspected sample at that time. It cannot guarantee every unit, hidden defect, future durability or destination compliance. Inspection and accredited testing answer different questions.

What happens if goods fail the agreed check?

The next step is a documented correction discussion. Ask the factory to explain how it will sort, rework or replace the affected goods, how long that will take and whether the problem could affect other units. Do not let the original shipping date hide a quality issue that has not been resolved.

We coordinate supplier communication and follow-up within the agreed scope. A repeat inspection may be needed to establish whether the correction is complete. Its cost, timing and access should be agreed before it is scheduled. Any negotiated discount or acceptance of a defect needs your commercial approval.

Prepare the factory and inspection team

  • Send the final purchase order, item list and quantities.
  • Provide the approved sample, drawings and current specification.
  • Confirm which goods must be finished and packed at the time of inspection.
  • List required measurements, functional checks and packaging details.
  • Identify supplier contacts and the actual inspection location.
  • Allow time for a report, buyer review and possible correction before dispatch.

Quality inspection questions

Can you inspect a supplier I already use?

Yes. Send the product details, factory location, order information and inspection requirements. We define the assignment before confirming the visit.

Can inspection replace product certification?

No. Product certification and compliance testing need the relevant qualified bodies. We can discuss supplier-document and testing coordination as a separately scoped part of procurement.

Who decides whether goods can ship after a defect is found?

The buyer or the party assigned that responsibility in the written project agreement. We report findings and coordinate supplier follow-up; a commercial release decision must be explicit.
