Find a supplier that fits the order you actually need.
Supplier sourcing in China starts with a clear product brief and a fair comparison. Our Guangzhou team coordinates factory search, supplier communication, verification and quotations for established businesses placing large orders.

Two suppliers can quote the same photograph and offer very different products. One may use thinner material, a different finish or simpler packaging. Before searching, we turn your requirements into a brief that suppliers can answer consistently: dimensions, materials, tolerances, quantities, intended use and the delivery destination.
We also identify what is flexible. You may accept a different construction to reach a target cost, but the change needs to be visible. A quotation should make substitutions and exclusions clear so that you can compare a practical alternative without losing control of the product.
If you already have factories in mind, send their quotations and product details. We can scope a comparison and verification assignment around existing candidates rather than repeat a search.
How factory search and shortlisting work
We contact potentially suitable suppliers and review their product fit, manufacturing arrangements, responsiveness and commercial terms. The shortlist depends on the category and the brief; promising a fixed number before seeing the requirement can encourage unsuitable options.
- Confirm whether the supplier manufactures the product, trades it or uses subcontractors.
- Compare available materials, customization options and minimum quantities.
- Ask for production timing based on the order size and current workload.
- Separate tooling, sample, packaging and freight charges from unit price.
- Review whether the supplier understands the destination requirements you specify.
The result is a reasoned comparison of the options covered by the assignment. We explain material differences, unresolved questions and the checks needed before a purchase decision.
Supplier verification and factory visits
Verification checks must be appropriate to the order. A desk review can compare the business name, address, quotation and available company documents. An on-site visit can look at facilities, relevant machinery, production flow, sample quality and the proposed manufacturing location.
We define which checks are included and which require specialist investigation. A factory visit is a snapshot of the operation at the time of the visit. It does not establish financial stability, remove payment risk or certify every future order. If formal legal due diligence is needed, the project needs qualified advice with a separately agreed scope.
The contracting entity, invoicing entity and payment beneficiary should be consistent with the arrangement you approve. A changed payment instruction or an unexplained third-party beneficiary should be clarified before funds are released.
Arrange a factory visit or review procurement terms and approvals.
Compare quotes on total cost and production fit
A useful quotation comparison includes the specification revision, quantity breaks, minimum order, tooling, packing, lead time, inspection access and trade terms. Negotiation can address these items as well as the price. A lower price with weaker packaging or longer production time may not be the better commercial option.
For an accepted project, we coordinate sample requests and collect your feedback. The approved sample and written specification become references for the next stage. Development samples belong to a commercial order plan; this is not a sample-only shopping service.
- Buyer decision: choose which supplier progresses to sampling.
- Buyer decision: approve sample differences and the production specification.
- Buyer decision: accept supplier terms and authorize the purchase.
What happens after selecting a factory?
Supplier selection should leave a usable order file. Keep the final quotation, approved sample references, specifications, packing details and production dates together. If inspection or production follow-up is included, the factory needs to know the checkpoints before work starts.
Our production and order management service follows the order after placement. Our quality control service checks agreed characteristics before release. Both can be combined with sourcing or quoted as defined assignments.
For repeat orders, we review the latest specification and past findings before asking for a new quote. This helps identify silent changes to materials, packaging or the manufacturing location.
Supplier sourcing questions
Can you guarantee a factory will perform?
No. Verification, sampling and monitoring help identify risk and support a better decision, but a supplier can still experience production, quality or financial problems.
Can you negotiate with a supplier I found online?
Yes. Send the supplier details, specification and quotation. We agree the comparison, communication and negotiation work before starting.
What should I send for a factory search?
Send product specifications, photos or drawings, quantities, factory budget, destination, required dates and any existing quotations. Large sourcing and order management projects currently require a factory budget of at least US$30,000.
