An attractive supplier quotation is only the beginning. You still need to confirm materials, approve samples, monitor production, check the finished goods and arrange a shipment that matches your import plan. A missed detail at one stage can become a much larger cost at the next.

We help turn those separate tasks into one managed sourcing process. You can ask us to find new factories, work with suppliers you have already selected, arrange a buying trip, or provide a defined inspection and logistics assignment. We start by checking whether your product, order size and timetable fit our services.

How our China sourcing process works

  1. Define the brief. Establish product specifications, quantities, target costs, destination requirements and a realistic delivery goal. List the details still awaiting a buyer decision.
  2. Compare suppliers. Request quotations on the same specification. Review factory suitability, commercial identity, minimum quantities, lead times and the differences between offers.
  3. Approve the product. Coordinate samples, materials, finishes, packaging and drawings where required. Record the approved version so production has a usable reference.
  4. Confirm the order. Agree supplier terms, production milestones, inspection checkpoints and payment arrangements before the order moves forward.
  5. Follow production. Track progress and communicate problems early. Changes to materials, dimensions, prices or dates need a recorded decision rather than an informal message.
  6. Inspect and follow up on issues. Check goods against the agreed plan, report findings and follow up with the factory on corrective action. Shipment approval remains a buyer decision.
  7. Prepare dispatch. Coordinate packing lists, receiving, consolidation, loading and freight arrangements. Confirm the shipment scope and destination charges before booking.
  8. Improve the next order. Keep the approved specification, supplier feedback and defect history together for repeat production and replacement-part discussions.

Each project has its own deliverables. Supplier shortlists, sample records, production updates, inspection evidence and shipment documents are included when they form part of the agreed assignment. We define the depth and frequency of reporting at the start.

A retailer may need several manufacturers to deliver products and branded packaging into one shipment.

For furniture, FF&E, OS&E and building-material procurement, we can discuss an item-by-item coordination scope using your schedules, drawings and approved designs. We connect the supplier work to sample approvals, packing requirements and shipping readiness. Architectural design, engineering sign-off, accredited laboratory testing and destination installation need the appropriate qualified specialists; their involvement and cost must be agreed for the project.

For brands developing OEM or private-label products, the starting point is a workable specification and a commercial order plan. Know what to approve at every stage

The useful question is not simply whether a factory is “good.” It is whether that supplier can make your product at the required quantity, finish, standard and timeline. A factory that works well for a stock item may be unsuitable for a custom design. A sample that looks right may still leave packaging or durability unresolved.

We bring those decisions into the sourcing brief. Before production, define what will be checked and how defects or differences will be handled. Before shipping, confirm which goods are ready, which issues remain open and who authorizes release. For repeat orders, use the latest approved specification and record any supplier change.

These controls help make procurement easier to review from overseas. Verification and inspection reduce uncertainty, but they cannot remove every manufacturing, payment, transport or import risk. The service scope should explain the checks and their limits clearly.

We quote a defined scope before work begins. Factory purchase costs and our service fees are separate. Sample development, tooling, inspections, travel, testing, storage, repacking and freight may create additional costs depending on the assignment. We identify the items included in the quotation and the items requiring separate approval.

Our existing sourcing and order management offer is intended for factory orders of US$30,000 or more. This is the value of the goods, not an agent fee. Supplier minimum order quantities and development costs still apply. A factory visit, stand-alone inspection or shipping assignment needs its own scope and quotation.

We coordinate China-side sourcing and supplier communication. Product decisions, confirmation of import eligibility and destination requirements, and commercial approvals remain with you unless a written agreement assigns a specific task elsewhere. Specialist advice, certification decisions and customs clearance should be confirmed with the relevant professional before an order is committed.

A meaningful comparison considers total project cost: goods, packaging, China-side handling, freight, insurance where requested, destination charges, taxes and any installation work. The lowest unit price alone does not tell you whether the order is commercially suitable.

Prepare a sourcing brief that factories can quote

If you have only an idea or a reference picture, explain what must be retained and what can change. We can discuss the specification work needed before asking suppliers for comparable quotations. This avoids choosing a low quote that covers a different product.

  • Product list with quantities per item, SKU or room type.
  • Materials, dimensions, colors, finishes and performance requirements.
  • Reference photos or drawings you are entitled to use, with revision dates.
  • Factory budget and the assumptions behind your target price.
  • Delivery destination, required arrival date and import requirements.
  • Packaging, labels, assembly instructions and spare-part needs.

Can you work with my existing Chinese suppliers?

Yes. Supplier communication, production follow-up, inspection and shipment coordination can be scoped around factories you already use. Send the order details and explain where you need support.

Do you offer small purchases or sample-only buying?

Our sourcing service is for established businesses placing large orders. Development samples can form part of an accepted wholesale or manufacturing project. We do not advertise a small-order shopping service.

Can I visit Guangzhou before ordering?

Yes. We arrange factory visit and sourcing-trip support, including supplier scheduling and translation. Tell us your buying goals, travel dates and product list so the trip can be built around useful meetings.

Can you manage custom products and packaging?

Yes. OEM, ODM, private-label and packaging coordination are part of our existing services. The technical work, samples, tooling, production quantities and approvals are defined for your project.

Do you guarantee the lowest price or a defect-free order?

No sourcing process can honestly guarantee either. We compare offers, define requirements, coordinate checks and report problems so you can make informed decisions.

How do I get a service quotation?
