Agent Guangzhou · Your team in China
Keep your orders moving after the purchase order.
Order management in China gives overseas buyers a local contact for supplier follow-up and the decisions that arise during manufacturing. Our Guangzhou team can manage a defined project or recurring monthly work, with responsibilities and reporting agreed upfront.

After an order is placed, questions continue: when materials will arrive, whether the sample is approved, whether the factory has started production and which products are ready to inspect. If several suppliers are involved, those questions multiply and can obscure the real delivery plan.
We coordinate supplier communication and follow-up as your local team in Guangzhou. The assignment can cover production progress, approval reminders, factory meetings, quality-check scheduling and shipment readiness. Monthly order handling is an existing part of our service offer, with the workload and fees agreed in advance.
The scope should identify the suppliers, products, expected order volume, meeting needs and update frequency. It should also explain what requires a separate quotation, such as travel, extra inspections, product development or specialist testing.
Track milestones that affect the order
- Purchase order and current specification confirmed with the supplier.
- Samples, materials, finishes and packaging approved.
- Production start and significant manufacturing stages.
- Open issues, changed dates and decisions required from the buyer.
- Finished quantity and inspection readiness.
- Packing list, collection date and dispatch approval.
Supplier estimates should be clearly distinguished from verified progress. A message saying “almost ready” is not the same as finished goods available for inspection. Where a factory visit or evidence check is included, we use it to answer the relevant milestone question.
Control changes to materials, specifications and dates
Production changes can arrive in an ordinary chat message: a component is unavailable, a finish is delayed or a different carton is proposed. The important step is to establish what the change affects before approving it. Product performance, appearance, packaging volume, price and timing can all be connected.
We bring supplier questions back with the information needed for a decision. Your approval should identify the item, change and accepted consequence. The factory then needs the updated instruction in a form its production team can use.
For repeat orders, begin with the latest approved specification. A new quotation should disclose any proposed substitution. Keeping defect history and supplier feedback with the item record helps avoid repeating an issue that was already resolved.
Updates that show progress and the next decision
An effective update explains the current stage, the evidence available, the problem if any and the action needed. A large number of photographs or messages is less useful than an organized account of which orders are on track and which are waiting for approval.
We agree how reporting will work for your project: the format, frequency and escalation route. Urgent quality or timing issues need a clear buyer contact. The project tracker should make ownership visible so a decision is not left between the supplier, the agent and the buyer.
Monthly work can also cover repeat quotations, supplier meetings and collection coordination. It is a service arrangement with a defined scope, not unrestricted access to every possible task.
Connect production follow-up to inspection and dispatch
Production monitoring does not replace product inspection. A supplier may meet a production milestone and still have defects in the finished goods. Schedule the inspection with time for reporting, your decision and possible corrective work before freight collection.
Our quality control service can be included in the order plan. Our consolidation and shipping coordination connects supplier readiness to collection and export preparation. If a delay makes the original shipment impractical, we help organize the options for your approval.
For longer-term supplier relationships, agreed product files, sample references, replacement-part details and inspection history create a better basis for the next order. See our guide to working supplier relationships.
Production and monthly management questions
Can you manage factories I already buy from?
Yes. Send the supplier list and current orders. We review the workload, responsibilities and reporting requirements before quoting.
Does monthly management include unlimited inspections?
No. The proposal specifies included tasks, visit frequency and inspection arrangements. Additional work is quoted or approved separately.
Can you guarantee the factory’s delivery date?
No. We follow progress, highlight delays and coordinate responses, but factory performance and transport disruptions remain risks. A realistic schedule allows time for approvals and correction.
